The challenge
Cool Running Software runs routes, deliveries and invoicing for ice companies. After each day on the road, bookkeepers typed the same sales into QuickBooks by hand: every customer, invoice and payment.
Cool Running wanted each ice company to connect its own QuickBooks and send the day's sales across in one go, following Cool Running's own rules for terms, surcharges and private-label items.
What we built
Connect
- Sign in with the Cool Running account and pick a licence.
- Each company connects its own QuickBooks Online company through Intuit's secure sign-in (OAuth 2.0).
Pick the sales
- Load sales by export group and date, with the QuickBooks connection status on screen.
- Export them all in one click.
Everything QuickBooks needs
- Customers, items with surcharges, terms, payment methods, classes, locations and tax codes, set up on the way.
- Invoices, or credit memos for returns, then the payments, matched back to each sale.
Safe re-runs
- Three phases through the QuickBooks Batch API, with retries and duplicate checks.
- Any error is saved on the sale itself, and every run is logged.
- Edit a receipt number, view a sale's data, or unmark a sale and send it again.
