The challenge and the solution
The Cool Running License Portal project focused on building a scalable API-driven integration layer between the Cool Running operational system and accounting platforms. The primary objective was to automate financial data synchronization, eliminate manual bookkeeping effort, and ensure real-time visibility of customer, product, and sales transactions. The solution integrates Cool Running with QuickBooks Online and establishes a Multi-Connection Platform (MCP) to support additional accounting software such as Xero, MYOB, and Sage. Deployed on AWS cloud infrastructure, the system ensures high availability, secure authentication, and future scalability. This integration transforms financial reconciliation from a manual, fragmented process into a centralized, automated ecosystem.
What we built
MindCore Studios delivered a complete API integration framework including architecture design, cloud deployment, and accounting platform connectivity. QuickBooks Online Integration • Implemented bi-directional API synchronization between Cool Running and QuickBooks Online. • Automated customer creation and update sync. • Automated product data synchronization. • Synced sales transactions in real time. • Ensured edits in Cool Running reflect in QuickBooks. • Retrieved unpaid invoices and open balances from QuickBooks into Cool Running. • Implemented tax mapping, payment tracking, and audit logging mechanisms. Multi-Connection Platform (MCP) Development • Designed an intermediary API layer to standardize data flow. • Built a scalable framework to extend integration with: Xero, MYOB, Sage. • Enabled configurable data mapping for each accounting platform. • Structured architecture for easy onboarding of future integrations. Cloud Infrastructure & Security • Deployed solution on AWS (Lambda/EC2 architecture). • Implemented AWS API Gateway for secure API management. • Used PostgreSQL/MySQL for structured data management. • Implemented Redis for real-time caching. • Secured integrations using OAuth 2.0 authentication. • Configured CloudWatch monitoring and structured error handling with retry mechanisms.
